EXECUTIVE ASSISTANT

Role and Responsibilities

The Executive Assistant role is a key role assisting the CEO. Performs administrative duties for executive management. Responsibilities may include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training and supervising other support staff; and customer relations. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters may be required.

  • Manage President / CEO schedule by planning and scheduling meetings and appointments
  • Managing the day-to-day operations of the office
  • Manage, organize, and update relevant data using Complete Cloud Systems, including communicating to the staff any information necessary to keep it consistent with President / CEO vision
  • Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups.
  • Type and word-process various documents and electronic information, responsible for file accuracy and electronic file management in Complete Cloud Systems
  • Preparing and editing correspondence, reports, and presentations
  • Making all travel and guest arrangements
  • Social media and marketing, including print advertising, events, and social media schedule
  • Managing projects and conducting research to assist the President / CEO
  • Running errands as necessary
  • Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting groups.
  • Interpret instructions and issues arising, and then implement actions according to administrative policies and procedures.
  • Arrange and participate in meetings, conferences, and project team activities.
  • Providing quality customer service

Qualifications and Education Requirements

  • 1+ years of executive assistant/administrative experience
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Experience and interest in internal and external communications, partnership development, and fundraising
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Must possess an excellent communication skill and problem-solving ability
  • Effective time-management
  • Must have the ability to plan and coordinate a team effort.
  • High School graduate or equivalent.

Working Conditions
Majority of work is performed in a general office environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization sponsored events and meetings that may require travel.

Work Schedule
Typical working hours for this position are Monday through Friday, 8:00 a.m. – 5:30 p.m. With disaster recovery work, this position may require occasional nights, weekends and/or holidays, and may also require traveling out of town.

Physical Requirements
Nature of work requires an ability to operate standard business office equipment. Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files. Occasional day and overnight travel may be required. Occasional lifting, up to 25 lbs.
